Exhibitor Frequently Asked Questions
Q: What is the deadline for booth setup?
A: Thursday, March 11th. Please!
Q: I want to be able to view my vFairs booth once it is finished. Can I still do that?
A: Yes, if you have had access until now as an exhibitor, then you still have access to the front side of the exhibit area on vFairs. If you can't get in, please make a request by email to Rachel or Eric for access.
Q: How will attendees go from your vFairs booth to the Airmeet Lounge.
A: We are still working with Airmeet to give us a unique link for your lounge to install on your vFairs booth. If we do not get this in time, then the portal that we provide to each attendee will be used to move from "building to building".
Q: How do I familiarize my team with the Airmeet lounge before the event?
A: Anyone who has access to the Airmeet booth, because you gave us their email address, has full access to your lounge and tables. You can meet there, or come to the Sandbox, in a different Airmeet event, to practice with whomever is there.
Q: How do I set up my Airmeet Lounge
A: Look at this video: Setting up Airmeet exhibitor booth
Q: Are we using the chat on the vFair platform?
A: No, we are doing all attendee communications in the Airmeet lounges
Q: Airmeet has a maximum graphic file size of 500K. My pictures are larger, how do I make them fit?
A: You can reduce the file size of the graphics while maintaining the aspect ratio using the following programs:
Windows 10: https:/tencomputer.com/resize-photos-in-windows-10/
Q: How do I take a customer or client off line for a private video, audio, or text chat?
A: Use Jitsi.org. This is a free and very simple video conference solution from 8X8 in California. No sign up is required. Make a simple unique URL to send to the person over chat that you want to conference with. Here is the format: https://meet.jit.si/name+callsign , for example mine could be: https://meet.jit.si/eric4z1ug . Jitsi does not mess up the camera and microphone settings of Airmeet. Try it!

Q: How is a virtual conference different than a live conference?
A: In a live conference, an attendee can walk through your booth, look at your product, engage with you, ask you a question, and walk away. In a virtual conference, an attendee can do the same thing, but even more, can engage with your content, speak with you using text, voice, or video chat. After the conference is over, you have a full report of every attendee who came to your booth, their contact information, what they looked at, and what interested them. At our last Expo, the average exhibitor had over 4,000 unique booth visitors. Sponsors had up to 9X that many in return visitors.
Q: How do I prepare for a virtual conference?
A: Preparation is very similar to a live conference. To have amazing results, include eye catching visuals, video demonstrations of products and technology, live Zoom demonstrations to allow for group Q&A, and don't forget to ask for the order and follow it up.
Q: if I am a vendor representative in a booth, who do I engage with booth visitors?
A: When a visitor enters the booth using the "Chat" button, the visitor joins a video room to engage in conversation with a group or individuals. Audio and text only are also available.
Q: Don't all of the exhibitor booth look the same?
A: A: There is a variety of booth styles, that vary in size. When your graphics are loaded and your colors are initiated from an infinite color palate, then your booth will not look like anyone else's. Two booths of the same style, next to each other can look completely different.
